Receptionist/Administrative Assistant


The position of   Receptionist/Administrative Assistant will report to the Office & Operations Manager. The Receptionist/Administrative Assistant provides support to the following areas: Building and Grounds, Operations and Office Administration.

Status: Full-time, non-exempt position

Reports to: Office & Operations Manager

Salary: $19.50 to $21.50 per hour, DOE

Hours: 9:30am to 6pm, Monday-Friday general business and program hours, and occasional other times as assigned.


JOB SUMMARY:

The Receptionist/Administrative Assistant (AA) provides primary reception coverage during hours assigned. The Receptionist/AA greets visitors, answers incoming calls, directs calls to employees or voicemail appropriately, and provides information on community resources as needed. In addition, this position may include a variety of administrative duties including, but not limited to, data entry, word processing, support of special events, maintaining database records and agency calendars, supply ordering, and completing administrative task requests as assigned. Flexibility and the ability to multi-task are an essential part of the qualifications for this position. The Receptionist portion of this position is a "post" position that requires the desk to always be covered. It is the public's first contact with Donaldina Cameron House and, as such, is critical to the mission of the organization. Reliability, consistency, a positive attitude, and a mature presence are required. Language skills in English and Chinese (Cantonese and Mandarin) is required, speaking, writing, and reading.


ESSENTIAL FUNCTIONS


Reception Support

  • Answers telephone and greets visitors in a professional and sensitive manner. 
  • Develops knowledge-based expertise of the Organization’s communication system to act as agency resource communication.
  • Responsible for maintaining a clean lobby and front office, including watering of plants and updating resource brochures and registration forms.
  • Be able and willing to learn about all of the Organization’s programs and services and be able to communicate and explain to clients.
  • Serve as the point person to receive in-person donations and program registration forms and fees.
  • Demonstrates a strong working knowledge of front desk procedures such as mail sorting and preparation, distribution of literature, customer service, etc.
  • Responsible for careful entry of data including program fees and registration, visitor log, facility and building calendar notes, and other data as requested
  • Assist people seeking for services and make appropriate referrals to internal or external resources.

  • Administrative Support

  • Provides accounts payable support for finance department by timely and accurately entering invoices and vouchers into accounting software.
  • Provides administrative support as part of Administrative Support Team to type letters, assist in mailings, create forms, prepare mail merges, etc.
  • Provides language translation and interpretation as needed, including documents, brochures, printed materials, and meetings.
  • Monitors, respond, and direct all e-mails and faxes that come through the main Cameron House e-mail account in a professional, timely, and accurate manner.
  • Works as part of a team to ensure adequate coverage of office needs.
  • Maintains working knowledge of office equipment -- i.e., copier, fax, scanner, etc
  • Assists with agency projects as required by staff.
  • Cross trains for back-up coverage of other admin support team responsibilities.
  • Performs other related job duties as assigned by Supervisor 

  • Intake and Enrollment

  • Provide intake and eligibility determination services for those coming through the doors of Cameron House for Food Pantry and Youth Programs.
  • Accurately and timely enter enrollment and intake information into appropriate database.
  • Provide referrals to other staff as needed

  • MINIMUM EDUCATION AND EXPERIENCE:

  • Minimum, AA Degree
  • At least 1-3 years administrative, receptionist, and front desk experience
  • Must be able to speak, write, and read English and Chinese (Cantonese and Mandarin)

  • KNOWLEDGE, SKILLS, AND ABILITIES:

  • Strong working knowledge of MS Office, e-mail, web browser, and office equipment
  • Strong data entry and phone etiquette skills
  • Strong communication and inter-personal skills
  • Flexibility and the ability to multi-task
